Document Checklist

Having the right documents ready helps your loan move smoothly from application to closing. You may not need every item listed below, but this checklist will give you a clear idea of what lenders typically ask for when you apply for a mortgage or refinance with Heartland Mortgage.

If you’re ever unsure about a document, just ask, our team is happy to help.



Identification

You’ll usually need:

  • driver’s license or state ID
  • Social Security number
  • permanent resident card (if applicable)

Income and Employment

If you are a W-2 employee:

  • most recent 30 days of pay stubs
  • last 2 years of W-2 forms
  • employer name, address, and start date

If you are self-employed or 1099:

  • last 2 years of personal tax returns
  • last 2 years of business tax returns (if applicable)
  • year-to-date profit and loss statement (if available)
  • 1099 forms (if applicable)

Other income (if applicable):

  • Social Security award letter
  • pension or retirement income
  • child support or alimony (only if you wish to use it to qualify)

Assets and Bank Statements

Typically requested:

  • most recent 1–2 months of bank statements
  • most recent retirement or investment account statements
  • documentation of any large deposits

If using gift funds:

  • gift letter (we will provide a template)
  • proof of donor ability to give funds (bank statement)

Current Housing Information

Depending on your situation:

  • current mortgage statement (if you own property)
  • property tax and insurance information
  • full lease agreement (if you rent)

For a Home Purchase

You may also be asked for:

  • signed purchase agreement
  • realtor and builder contact information
  • earnest money deposit receipt

For New Construction:

  • builder contract
  • change order summaries (if applicable)
  • community or lot information

For a Refinance

You may be asked for:

  • current mortgage statement
  • homeowner’s insurance policy
  • copy of note or closing disclosure (if available)

What If I Don’t Have Everything Yet?

That’s okay.

Many buyers start the process without every document in hand. Your loan officer will let you know exactly what is needed for your specific loan program and stage of the process. You can always upload additional items later through our secure portal.

How to Submit Your Documents

You can:

  • upload documents through our secure online portal
  • take photos of documents using your phone
  • email or securely upload PDF files
  • or bring copies directly to your loan advisor
